Job Summary:
We are seeking a highly experienced and enterprising Executive Assistant to work in Porto, Portugal and support the business owner with daily tasks and running the business. The successful candidate will have a strong background in the design-driven industry, including high-end bespoke textiles, furniture, architecture, interior design, and the creative industry. The ideal candidate will also have excellent accounting and negotiation skills, as well as experience handling top-line marketing initiatives for the business.
Responsibilities:
- Manage and prioritize the business owner’s daily schedule, meetings, and appointments.
- Act as the point of contact between the business owner and internal/external stakeholders, clients, and partners.
- Perform administrative tasks, such as managing email and phone correspondence, filing, and document management.
- Conduct research, compile reports, and analyze data to provide business insights and recommendations to the business owner.
- Manage projects, timelines, and budgets across different teams and offices.
- Assist in financial management, including budgeting, forecasting, and financial reporting.
- Negotiate contracts, partnerships, and deals with suppliers and vendors.
- Represent the business owner in meetings and events as needed.
- Handle top-line marketing initiatives for the business, including overseeing branding, marketing campaigns, and public relations.
- Take on additional duties and responsibilities as required to support the business owner and ensure the smooth running of the business.
Qualifications:
- Bachelor’s degree in Business, Accounting, Marketing, or a related field.
- Minimum of 5 years’ experience in a similar Executive Assistant role, preferably in a design-driven industry.
- Excellent organizational and time management skills, with the ability to manage multiple priorities and deadlines.
- Strong analytical and problem-solving skills.
- Advanced knowledge of Microsoft Office suite and project management software.
- Exceptional communication and interpersonal skills.
- Experience in financial management, including budgeting, forecasting, and financial reporting.
- Demonstrated experience in negotiation and contract management.
- Entrepreneurial spirit and ability to work independently in a fast-paced environment.
- Willingness to work remotely with the business owner and teams as required, as the owner travels for long periods of time.
- Experience working with international teams and offices.
- Knowledge of the high-end bespoke textiles, furniture, architecture, interior design, and creative industry.
- Strong marketing skills, including branding, advertising, and public relations.
